We are seeking a highly organized and detail-oriented Senior Logistics Officer to manage the daily flow of goods and materials across our supply chain.
This role is critical in ensuring timely deliveries, accurate documentation, smooth cross-functional coordination, and efficient logistics operations, both locally and internationally.
The ideal candidate will possess strong communication and planning skills, with the ability to multitask and handle time-sensitive logistics operations in a fast-paced environment.
Key Responsibilities:
- Arrange Deliveries: Organize and coordinate the daily transportation of goods to ensure timely and efficient delivery.
- Track Deliveries: Monitor all deliveries to confirm that shipments reach their destinations safely, on schedule, and in good condition.
- Prepare Shipping Documents: Accurately prepare and manage all required shipping documentation, including invoices, packing lists, and customs forms.
- Communicate with Drivers and Transport Providers: Maintain effective communication with company drivers and external transport partners to ensure smooth delivery operations.
- Manage Drivers and Fleet Activities: Oversee and monitor daily activities of drivers and trucks, including traffic updates, route planning, and schedule adherence.
- Resolve Delivery Issues: Identify and resolve any issues related to delivery delays, lost materials, or damaged goods by coordinating with relevant teams and finding timely solutions.
- Maintain Logistics Records: Keep detailed and up-to-date records of shipments, delivery dispatches, and inventory movement for reporting and auditing purposes.
- Cross-Functional Coordination: Collaborate closely with departments such as warehouse, sales, production, and procurement to ensure raw materials and finished goods are prepared, packed, and shipped on time to meet customer requirements.
- Monitor Vehicle Fuel Usage: Ensure proper tracking and usage of monthly gasoline allotment for each vehicle in the fleet.
- Inventory Management: Monitor and manage stock levels to ensure availability of materials without overstocking, supporting smooth production and delivery cycles.
- Procurement Support: Assist in purchasing goods and materials required for ongoing production and sales operations.
- Operational Analysis: Analyze logistics operations and data to identify areas for improvement, minimize delays or customer complaints, reduce operational costs, and support the sales team in achieving on-time deliveries.
- Data Management and Reporting: Maintain comprehensive spreadsheets and data records related to materials, delivery deadlines, and production schedules to provide visibility to sales and production teams regarding the status of goods and delivery timelines.
- Assist in Export & Import Operations: Provide support in managing export and import shipments when required. A working knowledge of international shipping procedures and documentation is considered an advantage. Assist in ensuring compliance with import/export regulations, coordinating with customs brokers, and handling logistics for cross-border shipments.
Qualifications & Requirements:
- Bachelor's degree in Logistics, Supply Chain Management, Business Administration, or a related field (preferred).
- Minimum 3 years of experience in logistics, transportation, or supply chain coordination.
- Strong understanding of logistics processes, inventory control, and documentation requirements.
- Knowledge of import/export regulations and procedures is an advantage.
- Excellent communication and coordination skills.
- Proficient in MS Excel, ERP and logistics management software/tools.
- Strong problem-solving and organizational skills.
- Ability to work in a fast-paced, deadline-driven environment.
