Job Purpose:  
To provide administrative support to ensure efficient operation of the office. The Secretary will handle communication, organize meetings, maintain records, and perform various clerical tasks to facilitate smooth daily operations and support the organization’s objectives.

Key Responsibilities:  
- Manage and respond to correspondence, phone calls, and emails promptly.  
- Schedule and coordinate appointments, meetings, and events.  
- Prepare and organize documents, reports, and presentations.  
- Maintain and update filing systems, both electronic and physical.  
- Assist in preparing agendas and taking minutes during meetings.  
- Handle incoming and outgoing mail and courier services.  
- Support travel arrangements and logistics for staff as needed.  
- Ensure the office environment is organized and well-stocked with supplies.  
- Liaise with clients, vendors, and other stakeholders professionally.  
- Perform any additional administrative tasks as required by management.

- Response time to correspondence and inquiries.  
- Accuracy and timeliness of document preparation.  
- Attendance and punctuality.  
- Efficiency in scheduling and calendar management.  
- Feedback from supervisors and colleagues regarding support quality.  
- Level of organization and cleanliness of the office environment.  
- Compliance with organizational policies and procedures.

Educational Qualifications:  
- Bachelor's degree in Office Administration, Business Administration, or a related field preferred.  
- High school diploma or equivalent required.

Professional Certifications:  
- Certification in Office Administration or Executive Assistance (e.g., Certified Administrative Professional - CAP) is a plus.

Core Functional Competencies:  
- Excellent organizational and time-management skills.  
- Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).  
- Strong written and verbal communication skills.  
- Attention to detail and accuracy.  
- Ability to multitask and prioritize effectively.  
- Basic knowledge of office machinery (printers, scanners, etc.).
